Spencer
Mobile Workplace Assistant for an augmented employee experience

Maarten Raemdonck, Managing DirectorSpencer leverages cloud technology to gather all the relevant information from various tools and solutions, and portrays the essential information and actions in a more comprehensive way. “Our forte is that we try and look at the software from the employee’s perspective,” says Raemdonck. For instance, there are several steps that an employee needs to follow to enjoy his holidays with peace of mind, including delegating tasks and declining conflicting meetings.
Our competitive frontier is to take the employee experience to a whole new level
Spencer simplifies this tedious process by allowing users to apply for a holiday from their smartphone, and then proactively helping them deal with every other step in the process–leaving them free to actually enjoy their time off. As an employee’s personal assistant, Spencer aggregates the essential information in a personalized and contextual manner and proactively recommends the appropriate actions at the right time.
Considering security a significant component and differentiator, Spencer was developed in such a way that it doesn’t synchronize, replicate, store or copy any information from its customers. It acts as a real-time transactional layer between the employees and the organization’s tools, rather than storing or processing any user data. All information is secured and encrypted to comply with industry data regulations such as GDPR.
By deploying Spencer to every employee’s mobile, the company can enhance the communication between employees, increase productivity, simplify employee’s day-to-day work, and deepen the connection employees feel towards their employer. Spencer is a holistic enabler to an employee’s work experience.
To further elaborate on Spencer’s value proposition, Raemdonck talks about the company’s recent success at Proximus—a large telecommunication operator—where Spencer enhances the employee experience. With nearly 13,000 employees, Proximus was looking for a more convenient and employee-centric solution for absence management. Part of the business case was to bring convenience to a deeply personal process, thereby improving employee engagement and empowering employees to manage this type of task while they are away from the office. With the help of Spencer, Proximus is now able to consult their shift planning, track their time entries, manage absence and leaves of the employees efficiently, while improving the internal communications within the organization. Out of 13,000 employees, 8,000 people have been given access to Spencer, and amongst that audience, Spencer is serving 80 percent of employees, in merely two months.
Spencer is all set to develop more capabilities to empower employees with relevant information to make informed decisions. The company recently announced its strategic partnerships with Microsoft, through which Spencer will have out of the box connectors to Office365 and Dynamics365. Spencer is currently serving 25,000 employees worldwide. “We are going to expand our footprint across Europe during the second half of this year and further in the next year,” concludes Raemdonck.
