Why it is Necessary for CIOs to Ensure Compliance in Corporate Communications?

The contemporary business landscape places the utmost importance on communication. The requisites and ways of communication have changed considerably over the recent years. CIOs have to shoulder the responsibility of ensuring total compliance with respect to communications.

FREMONT, CA: All CIOs, across businesses and industries, know that they need to be highly compliant with corporate communications, but a lot depends on the way they choose to do it considering the current requirements.

As per a study by Gartner, communication services have already advanced to be among the top three IT expenditures. Communication has always been significant in establishing robust business relationships, conceptualizing ideas, or sharing thoughts in the business world. However, the business communication requirements of the present day are quite complex and have turned more critical than ever.

As per Gartner, the global IT expenditure would increase by about 3.2 percent to about $3.8 trillion by 2019. Also, the importance placed by CIOs regarding corporate communication is only set to increase. Therefore, CIOs have no choice but to make sure compliance is ensured for overlying communication services.

As more and more enterprises are going global, bringing in compliance becomes even more challenging, as the regulations vary greatly in different countries. Current CIOs need to bring in several aspects such as legal expertise, market insights, etc. into the process of ensuring compliance. Communication compliance faces several challenges and successfully comprehends the highly complex regulatory landscape, which is present within the communication space, needing high-end legal skills.

CIOs have a crucial role to play here, and most might prefer to make a significant shift from conventionally used telephony services to adopt latest approaches such as Communications As A Service (CaaS) providers who can bring alignment between communication requirements and compliance with respect to regulations.

More and more enterprises are turning to international expansion to leverage opportunities in the global market and meet with the increasing technological and consumer demands. As a CIO, it turns critical to assess all applicable telecom compliance needs before working on expansion plans.

Invading a new territory involves a great amount of investment and preparation. A CIO can play a significant role in ensuring that business communication is at the forefront of any strategic planning. CIOs have to spend a good amount of time in considering how business telephony guidelines vary between countries.

Nowadays, regulators prefer electronic applications instead of paper forms. However, it is still an onerous task to analyze and comprehend the complexities involved in each market. In such a scenario, CIOs may think about consolidating their communication services instead of hiring many people, like legal experts, for each contract and vendor.

Unless there is a specific role for ensuring compliance in each territory, it’s impracticable from an all employees point of view, to comply with all the regulations. Therefore, as a CIO, it is imperative to retain capabilities and access, which span globally. Therefore, instead of installing one, hundred lines or even fixed-lines, choosing a provider who offers compliant phone access to regional emergency services across all nations as per your requirement is a better option.

A global success needs an international or compliant reach. Enterprises require the right provider to make this possible. The priority task with respect to establishing businesses in new markets is to find a communications provider dedicated to alleviating the complexity of highly varied worldwide business communications.

The other concern that may be critical for CIOs is regarding information security. Firstly, a CIO should make sure that call patterns and calls need to be extremely secure and is not logged in any external place. It may be that the platform for the respective communication provider could be an exception.

It is critical for CIOs to make sure that their organizations are in complete compliance with the national data retention policies, which varies considerably from country to country.

To summarize, it is crucial that CIOs realize that the accountability of the regulatory compliance remains exclusively with the respective enterprise’s strategies in dealing with them.
